Eduverse Support
Privacy Policy
Effective date: August 25, 2026
Eduverse Support operates a WhatsApp assistant that answers questions about Eduverse, captures enrolment enquiries and hands conversations to human staff. This policy explains what the assistant processes and why. It applies only to that WhatsApp service and the staff tools behind it.
Information we process
- Your WhatsApp phone number and the profile name WhatsApp provides, so we can recognise the conversation and reply to it.
- The messages you send and receive in that conversation, including our replies.
- Voice notes you send and the text transcript produced from them, so the assistant can answer a spoken question.
- Enquiry details you choose to give, such as parent or student name, country, grade or year, curriculum interest and a preferred contact time.
- Operational records, such as message delivery status, whether a conversation was escalated to staff, and which staff member acted on it.
We do not ask for payment card details, government identity numbers or health information through this channel.
Why we process it
- To answer support and admissions questions using published Eduverse information.
- To record an enrolment enquiry so a member of staff can follow it up.
- To escalate a conversation to a human when the assistant cannot help or you ask for a person.
- To keep the service working — retrying failed deliveries, diagnosing faults and preventing abuse.
Who processes it with us
The assistant relies on a small number of providers, each handling data only so the service can run:
- Meta WhatsApp Cloud API — carries messages between you and the assistant.
- Google Gemini — generates replies and transcribes voice notes.
- Replit — hosts the application.
- The managed database used by that hosting — stores conversations, enquiry records and escalations.
- Google Sheets — only when a staff member has enabled reporting sync, and only as a one-way reporting copy of enquiry and escalation fields. Nothing is read back from it into the assistant.
Your own use of WhatsApp is also covered by Meta's terms and privacy policy.
We do not sell your data
Your information is not sold, rented or traded, and it is not used to build advertising profiles. It is used to run this support service and nothing else.
Security
Messages travel over encrypted connections. Inbound webhook requests are signature-verified, so messages that do not genuinely come from WhatsApp are rejected. The staff CRM is password protected and available only to authorised Eduverse Support staff, and provider credentials are held in the hosting platform's secret store rather than in the application code. No online service can promise perfect security, but access is kept to what staff need to answer you.
How long we keep it
Conversations and enquiry records are kept while they are still needed — to continue helping you, to follow up an enrolment enquiry, to keep an accurate record of what staff did, and to meet any legal obligation that applies. We do not keep data for longer than those purposes require, and you can ask us to delete it at any time.
Your choices
- You can ask what we hold about your number, ask for a correction, or ask for deletion.
- You can stop using the assistant at any time; WhatsApp also lets you block the number.
- To request deletion, see our Data Deletion Instructions.
Children
The assistant is intended for parents, guardians and adult enquirers. Where details about a student are shared, we expect them to be provided by a parent or guardian.
Contacting us and changes to this policy
You can reach us in the same place the service runs: message the Eduverse WhatsApp number you normally use for support. If this policy changes, the updated version is published on this page with a new effective date.
